Position Summary
The Program Associate (PA) will provide support to advance the Foundation’s impact areas in the community through innovative and strategic grant making, engagement in Foundation initiatives in the community with its many partners and donors, and in partnership with other Foundation staff, and to ensure that the Foundation’s overall impact goals and objectives are achieved according to national compliance standards.
The Program Associate is responsible for three primary areas: 1) programmatic, planning, and administrative support for the Foundation’s overall program areas that benefit the Foundation’s service area, its grantees, nonprofit partners, and community of donors; 2) support to the portfolio and grants management of the Foundation’s unrestricted, Field of Interest, and scholarship grant funds; 3) acting as backup and support for the organization, the database
Principle Duties & Responsibilities
Provides both support and coordination as well as independent work for ongoing and special assignments related to organization’s key program areas, which may include:
Coordinate and provide critical analysis and evaluation of grantee progress reports, provide technical assistance to grantees on grant- or contract-related matters, and ensure timely response to monitoring issues
- Assist the Program Manager in the smooth running of the project
- Act as the team lead on special assignments, which may include the following activities: meeting planning, communicating with key constituents, managing small projects or grant programs as assigned
- Participate in strategy development of program initiatives or special projects
- Maintain and support relationships and communications with grantees, board members, donors, nonprofit partners, and other key stakeholders important to the Foundation’s programmatic work
- Act as liaison with other Foundation community partners to stay up to date on Foundation wide efforts and programmatic work and to keep abreast of other community efforts that may overlap
- Assist or manage in developing, creating, leading, and facilitating key foundation events
- Coordinate high-level administrative support efforts such as grantee site visit coordination, Community Impact Committee coordination, special convening opportunities, and management of grantee reports
- Provide support on projects that may cut across with other organization departments (finance, communications, executive)
- Other duties as assigned.
Qualifications & Skills Required
- Ability to communicate internally within the foundation team and externally to diverse audiences, with knowledge, diplomacy, tact, patience, flexibility, and courtesy.
- Demonstrated ability to be well-organized, a self-starter and work independently and within a team, with the proven ability to multi-task, set work priorities, track projects and meet deadlines.
- Technologically savvy, with fluency in computer applications, including word processing, email, internet searches, database and presentation software (such as MS Word, Excel, PowerPoint, Internet Explorer).
- Highest level of interpersonal skills including excellent listening, public speaking, oral and written communications skills.
- Uphold the highest ethical standards of integrity, fairness, and confidentiality in all relationships as a colleague and funder.
- Demonstrated ability to problem-solve using analytical and reasoning skills to maintain, identify, and make recommendations to improve operational systems.
- Strong desire to develop and test new systems, new ways of thinking, and innovative approaches to philanthropic grantmaking.
- Proven capacity to work in a multicultural workforce, including sensitivity and competency in working with individuals and groups of diverse cultural, socioeconomic, and lifestyle backgrounds.
- Ability and willingness to travel intra-state as needed.
- Minimum 3-5 years work experience, familiarity with field of philanthropy and nonprofit sector, preferred.
- Post graduate in any field and relevant work experience.
